I follow my firms data security policies by:
- I store my documents on the Microsoft One/share Drive (secure cloud based system)
- These folders have restricted access to only my team
- I ensure to encrypt email attachments when sharing sensitive lease information
- If the information is very sensitive I will also store the document in a password-protected file
What measures do you follow to ensure compliance with GDPR?
GDPR Compliance: Ensuring lease data is stored securely and only shared with necessary parties. I also obtain client consent before sharing information externally.
How would you respond if a third party requested access to confidential lease data?
I would not disclose any information unless I had written authorisation from the client. If the request came from a landlord, tenant, or another surveyor, I would refer them to the client for approval before sharing any data.
What processes do you follow to update or archive lease data once the rent review is concluded?
Final rent review agreements are saved securely in the client’s file.
The case is marked as completed in my firm’s case management system.
Data is archived in line with GDPR retention policies (typically for 6+ years).
If an error were found in the data you provided for a rent review, how would you rectify it?
I would immediately notify the client and acknowledge the mistake.
I would reassess the data and provide an updated, accurate report.
