What is documentation and what are the advantages of system documentation
Documentation can be defined as an information transmission and communication tool that explains how business processes and business systems work
The advantages of system documentation.
* Training
* Describe the current process and systems
* Auditing
* Accountability
* Process improvement
* Compliance
Define system documentation
Describes who, what, when, why and where of the systems input, process, storage, output, and controls
Identify the building blocks of BPMN modeling
BPMN (business process modelling notation) is used to analyze business processes and design changes. It describes the sequence of workflow in a business process. It can also be used as a tool for planning, documenting, discussing and implementing systems.
BPMN is a free software online to support modelling and subsequent process simulation
BPNM: pools and swim lanes
Pools = organizations
Lanes = departments or individuals within the organization
Tasks/ activities are assigned to one participant to show responsibility
Message flows = exchanges between two participants (pools) and should be described with text
The sequence of flow must not break between the start and end
Process modelling conventions
Are a set of agreed rules that govern the look and feel of all process models created within an organization or beyond
Characteristics of good modelling conventions
* Easy to understand and apply
* Acceptable by modellers and users
* Easy to learn
* Have been created by a collaboration between the modelling team and the customer of process models
* Have been tested, and can be implemented in a process modelling tool
Benefits
* See advantages of documentation
* Alignment of BP with IT strategy
* BP improvement
* BP re-engineering
* Standardisation of best practices
Challenges
* Complexity
* Being agile
* Cost
* Subjectivity and ambiguous term definitions
* Legacy
