Plans Flashcards
What is the purpose of the information in the Plans Theme?
To provide a framework to design, develop and maintain the Project Plans.
What are the 4 Project Plans?
- Project Plan
- Stage Plan
- Exception Plan
- Team Plans
What is a “Plan” in PRINCE2?
A document that describes how, when and by whom a specific target or set of targets is to be achieved.
What are the three different management levels in regard to “Plans”
- Directing
- Managing
- Delivering
What are the three types of Plan?
- Project Plan
- Stage Plan
- Team Plans
What Level of the Management level is the Project Plan used?
The directing level and therefore is used by the Project Board.
When is the Project Plan created?
During the Initiating a Project Process (IP)
What information is stored within the Project Plan?
It will show the major products of the project, when they will be delivered and the associated cost.
Who is responsible for keeping the Project Plan up to date?
The Project Manager
What Level of the Management level is the Stage Plan used?
The Management Level, used by the Project Manager on a day-to-day basis.
What Level of the Management level is the Team Plan used?
The Delivering Level.

The focus is to plan the work that is assigned to the Team Manager in Work Packages.
How is the Project Plan used by the Project Board?
Used by the Project Board as a baseline against which to monitor the progress stage by stage.
When is the Stage Plan created?
Each Stage Plan for the next management stage is produced near the end of the current management stage in the Stage Boundary process.
What is the Exception plan used for?
Used to recover from the effect of tolerance deviation.
What happens when the Exception Plan is approved by the Project Board?
The Exception Plan will replace the current Stage Plan to allow the Project Manager to complete the current stage.
What are the 7 steps in the PRINCE2 approach to plans.
- Design the Plan
- Define and analyse the products
- Identify activities and dependencies
- Prepare estimates
- Prepare the Schedule
- Document the plan
- Analyse the risks
What is involved within the first step of “Design the Plan” in the PRINCE2 Approach to Plans?
Choose style and format of plan.
What are the 4 steps in Product-Based Planning found in the second step in the PRINCE2 Approach to Plans?
- Writing the Project Product Description
- Creating the product breakdown structure
- Writing the Product Description for each product
- Creating the Product Flow Diagram
What are the benefits of Product-Based Planning?
- Clearly identifies and documents the plan’s products and interdependencies
- Clearly shows what the project involves
- Involves users in supplying product requirements
- Clarifies what is in and out of scope
- Easier to gain a clear agreement on what needs to be produced.
What is the Product Breakdown structure?
A Project Product is broken down into the major products which in turn are then broken down into further products to give a hierarchical overview of them.
What is a Product Flow diagram?
A Product Flow diagram defines the sequence in which the products of the plan will be developed, and shows the dependancies between them.
Name two ways to identify activities within the PRINCE2 approach to plans?
- Making a list of activities for each product in the Product Flow diagram.
- Create a Work Breakdown Structure for each of the products in the product breakdown structure.
What are the two types of dependencies to look out for within the PRINCE2 approach to plans?
- Internal
2. External
