What are the 4 roles of the RP?
- Display a notice with their name and reg number
- Secure the safe and effective running of the pharmacy
- Complete the pharmacy record
- Establish, maintain and review pharmacy procedures
What does securing the safe and effective running of the pharmacy involve?
- Establish the scope of responsibilities before taking on a role
- If unsure you must clarify with the owner, superintendent pharmacist or other delegated person
- If not possible, pharmacy may need to be closed if pharmacist believes it is not safe or patients are at risk
What does displaying a notice include?
- Name of RP
- GPHC reg number
- The fact that they are the RP in charge at that time
How long should the notice be up for?
However long they are the RP
If temp absent but still RP - notice stays even if there is a second pharmacist
If change of RP - change the notice
What is the pharmacy record?
A legal doc showing who is the RP at any date and time
What forms may the pharmacy record be in?
- Electronic
- In writing
- Both
The pharmacy record should…
- Be accurate and reflect who the RP is at any date/time
- Be made personally by the RP - can be made remotely
- Alterations or amendments for both need to identify when and who made it
- Electronic records must be backed up and kept on the pharmacy premises for inspection
What details need to be recorded in the pharmacy register?
- Name of RP
- Reg no.
- Date and time they became RP
- Date and time they stopped being RP
- If absent
- date of absence
- time they left
- time returned
How long should the pharmacy record be kept for?
5 years
What should SOPs cover?
- How meds are ordered, stored, prepared, sold by retail, delivered outside the pharmacy and disposed of in a safe and effective manner
- Circumstances where a non pharmacist member of staff can give advice about medical products
- Identification of staff who are competent to perform certain tasks
- Keeping of records
- Arrangements for absence of RP
- Step taken when there is a change to RP
- Procedure for complaints
- Procedure for an incident indicating pharmacy isn’t running in a safe and effective manner
- How changes to procedures are notified to staff
What formats can SOPs be kept?
- Electronic
- In writing
- Both
Who should SOPs be available to?
- Owner
- Superintendent

How often should SOPs be reviewed?
Once every 2 years

When reviewing SOPs what should be documented?
- RP who reviewed
- Identify what procedures are in place

- Which procedures are in place
- Which procedures were previously in place
- RP who amended
- Date amendment made
How long can the RP be absent for?
2 hours max during business between midnight and midnight
If the RP is absent what measures must be in place?
- Only be absent if pharmacy can continue to run safely and effectively
- Remain contactable with pharmacy staff - be able to return promptly
- If they can’t be contactable or come back promptly they should arrange for another pharmacist to be contactable and available
What must be recorded if the RP is absent?
- Date of absence
- Time left
- Time returned
What activities require the RP present and to supervise?
- Clinical and legal check
- Sale/supply of P meds
- Sale/supply of POM
- PGD supply of meds

- Emergency supply (pt/HCP req)

- Label printing
