Justify the use of this single piece of applications software for these tasks. (6)

Individual applications for each task will be better suited and have more options, a single application can share data amongst itself combining appointment with contacts for example and send out invitations.
A single application is a single cost and port of call for help, there may be specialists with knowledge, many packages cost more as you have to pay for each package, you need different support contracts, one for each package and different experts are required.
