NFPA “Get Your Message Out” media primer recommends what three steps when working with the Media?

  1. Build a Strong Foundation- View relationship as mutually beneficial both sides can help each other. Develop contacts (who covers fires), know deadlines, tell the truth as to establish trust and rapport.
  2. Proactive Outreach- don’t just respond to inquiries, look for opportunities to use media to communicate departments objectives and mission. Once relationship are built reporters may begin to look to you for story ideas, etc. Use press releases when distributing information with broad interest.
  3. Measured Responsiveness- Your objective is to present a positive image of the department, which can be difficult with certain stories. Sometimes the best that can be done is present honest, factual information. Be wary of those actively trying to misrepresent a story in a neg light be factual and straightforward.

A

As official announcement to news media highlighting special event, appointment, station opening etc. from PIO. The press release should be on department stationary with PIO contact information at top. Be judicious with distribution, send to reporters who cover that area/beat. First paragraph should answer who, what, when, where and why.

  1. Be Prepared- ensure authorized to speak and that you have the information. Ask who they have talked to and what information hopes to learn from you. Decline if angle they are taking is negative. When delivering a specific message identify no more than 3 key message points.
  2. Stay in Control- be cooperative, bust stay focused on your key message points. When you have answered the question stop talking.
  3. Look and Act the Part- clean tidy appearance
  4. It’s not over until it’s over- don’t assume that anything you say is off the record. Assume that anything you say may be quoted including conversations before and after.
