DEMO FAQ Flashcards
(17 cards)
Does M-Files connect with Active Directory?
Yes! We also can use SSO and 2 Factor O-Auth to login
Can you export and share information for audits?
Yes! Several ways.
1. Create a view of the information then export as CSV
2. Share via hubshare
3. Give anonymous access to
Mac for M-files?
No and no future plans to right now
Upload / Import restrictions?
Can upload upto 1T. Any file type is accepted
Salesforce integration info (add-in vs plug in)
Add-In:
Embedded in SF ($3/user)
* not part of any packages
* just allows you to pull up M-files
* Does allow all users to use
Plug-In:
* Is in all the packages (base, team..etc)
* Syncs data between M-files
What scanning or importation does M-File offer for paper documents?
M-files: Only has zonal coordinal reading OCR
M-Files does not focus on this technology, we are focused on document management.
We partner with:
ChronoScan
ABBY
Their service can take all documentation scan and create CVS/XML information or link direct to M-Files and create metadata
How can M-Files Integrate to other platforms?
- Sync of content from external system
- IML type connection to external repository
- Linking of M-Files hosted content from the external system
- Embedded UI
Based on their expectation, even if an integration doesn’t exist in the catalog, we could discuss options using some of the standard integration capabilities of M-Files:
* Connection to external DB
* File/Mail Sources,
* M-Files URL and other linking methods
* Web Service API
* M-Files API
M-Files Integrations List
- PowerBi
- Salesforce view is a plug and play - prebuilt
- Teams view is a plug and play - prebuilt
M-Files API
- Active X windows API
- Web Server API
- UI extensibility Framework
SDK required for API keys - M-Files gives away
- Check out our API case studies on the website tons of examples there.
What server database does M-Files use?
Server database
* Firebird
* Microsoft SQL
What is IML Database?
Intelligent Metadata Layer (IML) sits in between the M-Files user interfaces and the external repositories. It provides all essential
CSP capabilities, such as a versatile search interface, metadata tagging, workflows, version history, checking out documents
for editing, and a multi-repository search. It also allows for smart discovery and intelligence to the system.
If I change an document in a external repository does the reflective file also get updated in M-files?
YES! All edits are reflected in M-files and updated. This is also true the other way around.
NOTE: From the version history point of view, individual modifications made outside M-Files are not recorded in the M-Files version
history. For instance, when a file is first edited and saved a number of times in the external repository and then opened and
modified in M-Files, a new version is created that includes all the modifications made in the external repository plus the
ones made via M-Files
What happens if I delete an M-Files document, will the document in the external repository also be deleted?
It depends on your settings. For instance, you can configure the Network Folder Connector to remove the file from the external repository when
you delete the corresponding object in M-Files or to just make the M-Files object to not appear in listings or search results.
NOTE: If an M-Files object is set to be deleted via a workflow state transition, the connector attempts to delete
the object by using the credentials of the user who made the state transition. If the transition is caused by a
scheduled operation, the connector attempts to use the common credentials to complete the operation.
If I delete an object in an external repository and the corresponding M-Files document also gets deleted. What happens when I undelete that object? Will I need to reassign the metadata?
If an object is deleted from either the external repository or M-files it will be reflected in both. Undeleting the object (either in external repository or M-Files) will bring back all the metadata information in M-Files
NOTE: if an object is destroyed then bringing it back is impossible.
What happens when you move a file within an external repository, can M-Files still find it? (ex on prem shared drive or SharePoint)
Yes - it will crawl to find it and index it where it is located despite it being moved. Again, we don’t care where something lives, just what it is. However, please note that dependent on the frequency settings of the indexing cycle there can be a temporary disconnect between M-Files and the moved file until the indexing cycle initiates and find it again. We strongly recommend when implementing M-Files to lock down your existing shared drives/SharePoint and manage everything through M-Files to prevent this.
Permission settings synchronization between M-Files and external repositories?
- Connectors can obey the Access Control Lists (ACLs) of the external repository, or override the external repository ACLs with a default, M-Files-specific named access control list (NACL).
- Available options for using M-Files NACL are Always, As fallback, or Never.
How does the cloud backup work within M-Files?
-We keep a total of 6 copies of data all within Azure, replicated across at least two Azure regions.
- M-Files saves modifications of the objects as a new version to the system.
-All changes can be rolled back by users
-Users cannot permanently destroy data from M-Files (administrators can)
- Azure Blob Storages and SQL databases are backed up by Microsoft to provide protection against hardware failures
Storages are backed up by M-Files to provide protections against logical errors
- Restoring from backups is tested multiple times a year
- Support gets daily summary emails reporting the status of daily backups
