What is Mail Merge?
Mail merge is a software operation describing the production of multiple (and potentially large numbers of) documents from a single template form and a structured data source. The letter may be sent out to many “recipients” with small changes, such as a change of address or a change in the greeting line.
Give an example of an operation that can format text:
Changing font size/type
Change text alignment
Bold/Underline/Italicize
Create bulleted/numbered lists.
What does ‘Frame Based Desktop Publishing’ mean?
Text and picture frames can be laid out on a page, and edited/moved if necessary.
Why, in Desktop Publishing Software, is it important that files can be imported?
So that work from other sources (i.e. designers/illustrators) can be imported and edited - this saves time and increases productivity.

What are the benefits of using smartphone apps to advertise products?
Notifications can push through new products and offers.
An app/website can be seen by customers all over the world.
Signing up for the app allows Animated World Books to collect information about customers - such as email address, age, recent purchases etc.
What needs to be considered when creating an app for advertising?
It must be properly OPTIMIZED - images must be optimized in order for them to load quickly on a webpage, and to keep the overall app size down.
Also, the amount of bandwidth available to the average phone user - will they have WiFi or 3G? This could impact the level of detail etc. on the webpages, so that download/load times are kept to a minimum.

What are the three main purposes of a Smartphone?
Use as a phone/business utility (i.e. email, calendar).
Entertainment - music, games, apps.
Socially - access to Social Media on the go.

What are the advantages/disadvantages of .jpg compression?
Advantages:
Compressed size makes it useful for storing high quality images such as photographs (as it can hold more than 256 colours - unlike .gif compression).
Disadvantages:
Some image quality is lost due to compression.
What are the advantages/disadvantages of .gif compression?
Advantages:
Good for images that have large blocks of a single colour. Can also have a transparent background, making it useful for placing on webpages etc.
Disadvantages:
Cannot hold more than 256 different colours, so images with more than 256 colours lose quality quickly.
What are the advantages/disadvantages of .bmp compression?
Advantages:
Bit-mapped files are useful if the picture is being stored for later use, as the picture still retains its quality.
Disadvantages:
Due to large file size, they are not suitable for websites - as they drastically increase the overall load time.
What is a Vector Graphic?
It is a graphic that is based on the ‘relationships between the control points of lines’ - i.e. information is not stored about each pixel, but where the lines are in the image. This allows vector images to be zoomed in indefinitely and not lose their quality.
What are the advantages/disadvantages of Vector Graphics?
Advantages:
Smaller file size, as data is not stored about each pixel.
Vector Graphics are scalable without a drop in quality.
Disadvantages:
They do not look as lifelike/realistic as bit-mapped images. They will always look computer generated.
Why is a Graphics Tablet better than a Mouse?
It is more accurate/precise than a mouse, and so offers greater control. It is more ergonomic, so there is less chance of RSI etc. in the future. Also, it uses a stylus/pen shaped tool, so the ‘experience’ is more realistic.

What is the ‘aim’ of the Data Protection Act?
To protect your personal data stored on others computers.
What are the 6 main principles of the DPA (1998)?
- It must only be collected and used fairly and within the law.
- It must only be held and used for the reasons given to the Information Commissioner.
- It can only be used for those registered purposes and only be disclosed to those people mentioned in the register entry. You cannot give it away or sell it unless you said you would to begin with.
- It must be accurate and be kept up to date. There is a duty to keep it up to date, for example to change an address when people move.
- It must not be kept longer than is necessary for the registered purpose. It is alright to keep information for certain lengths of time but not indefinitely. This rule means that it would be wrong to keep information about past customers longer than a few years at most.
- The information must be kept safe and secure. This includes keeping the information backed up and away from any unauthorized access. It would be wrong to leave personal data open to be viewed by just anyone.
What is a Radio Button on a Data Capture Form?
It is similar to a check box, in that it contains a number of different values to choose from. However, only one value can be chosen (unlike a checkbox, where multiple values can be chosen).
How do businesses protect data?
- Usernames/Passwords
- A good Password Policy
- Setting Access Rights effectively
- Firewalls (checks all data entering/exiting a network)
- Backing up data to external HDD’s etc.
- Encrypting files.
- Physical Security (i.e. CCTV, locked doors, security guards).
