Features of file management
The goal when naming files is to be able to tell what the file is about without having to open it and look.
Read-only files mean that certain files can be read but not amended (changed).
Backing-up means making a second copy of a document to prevent it being lost in the event of computer crashes, damage to hardware, computer theft, or viruses.
Benefits of effective file management
Less time spent filing, searching for, and cleaning up information.
Saves space – both physical and cloud-based.
Less stress for employees looking for files.
Consequences of poor file management
Time wasted trying to find files, especially if the operator does not know what the file is called.
Disrupted workflow if files can’t be accessed as updating and retrieval of work will not be possible.
More stress for employees looking for files.
