Q

If a customer asks to obtain the EIN before the business is approved what would you do?

A

Swyft will obtain the EIN early after the customer agrees to the risk of early obtainment. We wait until the business is approved by the state because this is the only way that we know for sure the business name belongs to the customer. The state holds the right to reject the Articles and request a new business name, even if the name seemed to be available. If we obtain the EIN with the rejected business name, the customer is responsible for changing the name on their EIN with IRS with the new business name. The IRS will NOT work with a third party to make any changes to an existing EIN. If the customer agrees to this risk, note the account that the customer accepted the risk of early obtainment and send the customer the below link to their email.

Q

Where do you go to search if a business has been approved? (Already filed to the state and no rejection has been received)

A

In the CRM you will need to select the specific incorporation order and under the business profile on the top right, you will select the magnifying glass. The magnifying glass will take you to the state site where you will search the business name. (Always make sure to verify it is the correct business by looking at the RA info and date of approval.

Q

If the customer says that the business name in the CRM is not the name they provided during the checkout process where would you check?

A
  1. Check the status tab to see if the original business name was rejected and the changes tab to see if a processor changed the business name
  2. If the customer provided an alternate business name during the checkout process and the original name was taken our processing team automatically filed the secondary name (look at notes and my documents)
  3. Look at inspectlet if you don’t see any changes to the business name to confirm what the customer actually inputted (sometimes they misspell the name or forget what name they provided)

  2. Refund the charge and fill out the refund tracker if they have already been charged. If they have not been charged yet you will most likely need to delete the invoice
