Different factors that influence meeting arrangements
Whether the people involved are internal or external.
Whether the meeting is urgent
The purpose of the meeting
The location of personnel may impact the choice of venue.
Factors that influence travel arrangements
The destination
The date/time
Personnel- If a group is travelling together then driving id the most cost effective method as if they travelled by train they would each have to pay for train tickets.
Special requirements- for example if someone has not passed their driving test.
Factors influencing the venue/room
The availability
The location
The resources available at the venue
Shared office space- for instance if it is an external meeting then it is unlikely to be held in an open office.
Business costs
A meeting could have cost implications such as if people have to travel long distances then alternative options could be telephone or web conferences to save money. That will reduce venue and all travel costs. However in some instances face to face meetings may be more appropriate as it is a professional approach.
