Chapter 4 Flashcards
(22 cards)
Project objective includes ?
- Expected benefits
- Primary project end product and deliverable
- Date required to be completed
- Budget
- Changes are agreed upon by customer /contractor
Planning project is based on project objective?
- establish what is to be achieved
- often stated in the project charter or RFP
- is the tangible end product
What Is a project scope (work scope) ?
Defines what needs to be done
all work that needs to be done to produce all project deliverables that meet customer requirements & acceptance criteria & accomplish project objective
Essential in establishing a common understanding among project stakeholders regarding scope of P
What does a project scope include ?
Items contained in project charter , RFP, proposal and more details
establishes common understanding of scope with stakeholders
What does a project scope DOCUMENT include ?
- customer requirement’s
- statement of work
- deliverables
- acceptable criteria
- work breakdown structure
Change control system to avoid scope creep and establish baseline
Plan for quality - key aspects and include ?
Plan for assuring quality as project progresses
complete work according to specifications & standards
INCLUDE :
- references for specifications and standards (industry /gov)
- written procedures for quality tools and techniques (audits / testing)
KEY ASPECTS :
- monitor as the project progresses
- do work right the 1st time rather than rework
Project object must be ?
Specific , measurable , attainable, relevant and time bound
In accordance with smart principle of objective setting
Project scope doc
- CUSTOMER REQUIREMENTS
Defines functional , operational , performance specifications /capabilities that must be met for projects end product
Obtained through interview
Includes specifications and performance parameters :
- size , colour , weirder
- speed , uptime , processing time , operating temp the project result must satisfy
Technical specifications (quality & performance of project work)
- STATEMENT OF WORK
Defines major tasks that need to be performed to achieve work that needs to be done & produce all project deliverables
Defines project team/ contractor will do
SOW must be reviews by contractor + customer to make sure all expectations are included and understood
- DELIVERABLES
Outlines products / outputs the project team / contractor will produce & provide customer during + completion of project
Major Key deliverables need to explained in great detail within the PSD- manage stakeholder expectation
- ACCEPTANCE CRITERIA
Stated for all project deliverables (greater detail that charter + RFP)
Included specifications/standards to assure quality
Clear description of AC with quantitative measure to avoid misunderstanding
Some projects , terms of payments may be tied with AC
- WORK BREAKDOWN STRUCTURE
Work tasks defined in SOW along with detailed list of deliverables provide basis for WBS
Technique for organising & subdivision all project work / deliverables into manageable components
WBS used as a basis for creating more detailed WBS in next planning process
- PROGRESSIVE ELABORATION FOR LONGER TERM PROJECTS
Long projects manager scan progressively elaborate details as more info is known or becomes clear
progressive elaboration
An approach to planning a project in greater detail as project progresses & more info is known /becomes clear
- CHANGE CONTROL SYSTEMS TO AVOID SCOPE CREEP
Needs to be established for process & procedures that define how changed will be documented, approved , communicated
Avoid scope creep
— expanding the scope of the project by making changes to scope without appropriate approval
Many P overstep budget due to additional work documented/ approved / wasn’t communicated
Project quality plan ?
Document defines specifications/ standards / codes that must be met during performance of work & procedures
Why is a quality plan beneficial?
- helps prevent incurring additional costs
- schedule extensions due to rework caused by work/deliverables not meeting expectations / C expectations
Work Breakdown structure info
Once a project scope doc has been prepared & agreed on you can create a WBS
Important to have a project scope doc = is foundation for creating WBS
Difference between project scope doc and WBS?
PSD defines what needs to be done to SOW & deliverables
WBS established framework for how work will get done to produce project deliverables
What is a WBS?
Hierarchical tree of deliverables or end items achieved / produced by project team / contractor during P
Subdividing into more manageable components (work items) :)
What is an indentured list?
Another format for creating WBS
Appropriate for larger projects where a chart may become too large
RESPONSIBILITY ASSIGNMENT MATRIX?
Designate responsible individuals/ organisational units responsible for accomplishing each work item in a work breakdown structure
P = primary responsibility
S = support responsibility
Illustrates who will be responsible for work
Activity/ task ?
Defined piece of work that takes time
Activities define more specifically how work will get done
