Files must be set up for each crew member.
What type of file should be kept under lock and key?
One file should contain confidential information such as the SEA, amendments to salary, warnings, etc.
Who must have access to the other crew member file?
The Chief Officer and second officer must have access to the other file.
How should the crew member file be divided for ease of reference?
The file should be divided into sections: Crew details sheet, Crew medical, Passports and visas, Certificates, Flights and accommodation, CV, Miscellaneous.
What should the crew details sheet include?
The crew details sheet should include Address, DOB, Phone numbers, NOK, Bank Details.

The crew medical section should include ENG1/Seafarer Medical, Med air form, insurance declaration of coverage (DOI).
What should be registered electronically for each crew member?
All crew should have electronic files registered with current certificates, passports, visas, and their expiry dates.
What can be set to alert when certificates are due to expire?
Reminders can be set to alert when certificates are due to expire.
Where should the original certificates be kept?
The originals should be on-board and available for inspection by Port State Control.

The Purser should retain passports centrally and locked in a safe for safekeeping.

Crew should sign their passport out and then in again upon their return to safeguard against loss.
