What is an HRIS and its purposes?
It’s a collection of personnel information; sometimes part of a company’s enterprise resource planning (ERP) system which includes all functions
Major uses of HRIS:
- HR Planning (ex. replacements, promotions)
- Reporting (ex. diversity, compensation)
- Personnel research (ex. studying turnover, where to find best new recruits)
- Training-needs assessment (ex. assesses which employees need more training)
What are the steps of selecting an HRIS?
- Assemble a committee
- Conduct a needs assessment
- Define selection parameters (ex. functionality requirements, budget, timeline)
- Create a list of available HRIS
- Evaluate options against criteria
- Narrow down the options
- Request bids from vendors
- Ask for demonstration from the top vendors and ask questions
- Check references
- Select a system
What is parallel testing within HRIS implementation?
Testing multiple applications
or subcomponents of one
application concurrently to
reduce the test time and
system errors.
Running previous software and newly developed software simultaneously for a period of time before discontinuing the old HRIS.
What is a gap analysis in HRIS maintenance?
Compares current situation to desired situation to identify the gap (in this case, HRIS)
The gap represents the changes that need to take place for the HRIS to meet the organization’s needs
What is the difference between an HRIS and HRMS?
An HRMS is a complete system used by organizations to manage employee information. An HRMS is an HCM + payroll, time & labor. HCMs include HRIS, unlike HRMS.
In contrast, an HRIS is simply a database system or collection of databases that track employee data.
What is an HR portal and its advantages?
Individualized access to personal information and company
resources in a self-service platform.
Advantages:
- Asynchronous access
- Management access for review and approval of employee actions/
requests (eg) vacation requests - Relieves HR personnel of administrative tasks
- Shared Services Model (explained in another card)
What is a shared services model related to HR portals?
Interacts with employees through a service center, standardized services for all business units, services may be outsourced (employee/HR portal automatic customer service
What are virtual teams and the 3 factors for their success?
Describes the digital ability to enable teams to work remotely around the globe
- Effective leadership
- Motivation
- Good communication
